1. Introduction and Purpose

Your privacy is important to us.

The purpose of this Policy is to provide the key points about how the Centre for Coaching in Organisations (“CCORGS”) handles ‘Personal Information’.

CCORGS may collect, hold, use and disclose personal information to carry out our functions or activities in compliance with the Privacy Act 1988.

The Privacy Act 1988 regulates how personal information about an individual is collected and handled.

‘Personal information’ is information about an identified individual or an individual who is reasonably identifiable:

  • Provide our programs and services, which includes updating and providing support
  • Improve and develop our programs and services
  • Personalise our programs and services and make recommendations.
  • Advertise and market to you, which includes sending promotional communications, targeting advertising, and presenting you with relevant offers and white papers.

We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure.  You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing.

When we collect Personal Information, we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.

This Privacy Policy is particularly relevant to you if you are:

  • an individual whose personal information may be given to or held by CCORGS
  • a contractor, coach, consultant, supplier or vendor of goods or services to CCORGS
  • a person seeking employment, or employed with CCORGS.

Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

Sensitive information will be used by us only:

  • For the primary purpose for which it was obtained
  • For a secondary purpose that is directly related to the primary purpose
  • With your consent, or where required or authorised by law.

Where reasonable and practicable to do so, we will collect your Personal Information only from you.  However, in some circumstances we may be provided with information by third parties.  In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Your Personal Information may be disclosed in a number of circumstances including the following:

  • Third parties where you consent to the use or disclosure; and
  • Where required or authorised by law.

7. Security of Personal Information

Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information.  However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.

CCORGS may use a cloud computing environment provided by a third-party to collect and store personal information.  In order to protect personal information once it leaves the CCORGS environment for the cloud computing environment, CCORGS:

  • ensures that its cloud service providers are contractually bound to protect personal information in accordance with the Privacy Act
  • ensures cloud service providers offer personal information security measures that are at least equal to those used by CCORGS, and
  • ensures contractual arrangements are in place with cloud service providers to destroy or de-identify personal information once it is no longer needed.

8. Access to your Personal Information

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.

CCORGS will not charge any fee for your access request but may charge an administrative fee for providing a copy of your Personal Information.

In order to protect your Personal Information, we may require identification from you before releasing the requested information.

9. Cookies, Analytics and click stream data

When you visit the CCORGS website, we use a range of tools provided by third parties such as Google to collect or view website traffic information.  These websites have their own privacy policies.  We also use cookies and session tools to improve your experience when accessing our website.  Information collected when you visit the CCORGS website may include the IP address of the device you are using and information about sites that IP address has come from.

CCORGS uses this information to maintain, secure and improve our website.

10. Social Networking

CCORGS uses social networking services such as LinkedIn, Twitter, Facebook, and YouTube to communicate to the public and potential clients.  When you communicate with us using these services we may collect your personal information, but we only use it to help us to communicate with you.  The social networking service will also handle your personal information for its own purposes.  These sites have their own privacy policies.

11. Maintaining the Quality of your Personal Information

It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date.  If you find that the information we have is not up to date or is inaccurate, please advise us as soon as practicable so we can update our records and ensure we can continue to provide quality services to you.
